Think of an income and expenditure account as a financial report card for clubs, charities, and societies. Instead of aiming for profit like regular businesses, these non-profit organisations just want to know if they're managing their money well.
The account shows you two crucial things: all the money coming in (income or gains) and all the money going out (expenditure or expenses). At the end, you'll discover whether the organisation had a surplus (made more than they spent) or a deficit (spent more than they made).

The magic happens with a simple T-account layout. Picture drawing a massive 'T' on your page - expenditure always goes on the left side, income always goes on the right side. Don't mix these up or you'll lose marks!
Start with a proper title that includes the organisation's name and the time period covered. For example: "St. Mary's GAA Club Income and Expenditure Account for the year ended 31st December 2023". This title alone can earn you marks in exams.
Next, list all expenses on the left (things like equipment purchases, rent, insurance) and all income sources on the right (membership fees, donations, fundraising events). Add up each side to get your subtotals.
Exam Alert: The title format is crucial - always include the organisation name AND "for the year ended [date]"

Once you've got your subtotals, it's time for the exciting bit - working out whether there's a surplus or deficit. Compare your income total with your expenditure total. Whichever is bigger determines your result.
If income is higher, you've got a surplus - write "Surplus (Income over Expenditure)" on the expenditure (left) side. If expenditure is higher, you've got a deficit - write "Deficit (Expenditure over Income)" on the income (right) side.

Let's see this in action with real numbers. The chess club had membership fees of €400, tuck shop sales of €150, but spent €80 on chess sets, €50 on prizes, and €100 on room hire.
Setting up the T-account: income side shows €400 + €150 = €550 total. Expenditure side shows €80 + €50 + €100 = €230 total. Since income (€550) is greater than expenditure (€230), we've got a surplus of €320.
To balance the account, add the €320 surplus to the expenditure side. Now both sides total €550 - perfectly balanced! The chess club had a successful year financially.
This example shows how straightforward the process becomes once you follow the steps methodically. The key is staying organised and double-checking your arithmetic.

Here's a slightly more complex example to build your confidence. The Tidy Towns Committee received a €1,000 council grant plus €350 in donations (total income: €1,350). They spent money on flowers (€450), litter pickers (€120), insurance (€500), and printing (€80) for total expenditure of €1,150.
Since income exceeds expenditure, there's a surplus of €200. Add this to the expenditure side to balance the account at €1,350 on both sides. The committee managed their finances well and have money left over for next year's projects.
